Medical Office Financial Counselor

Dual role responsible for establishing payment arrangements, collecting outstanding patient balances, charity care qualification, posting payments as well as managing collection agency accounts for both the Careplex Ambulatory Surgery Center as well as Tidewater Orthopeadics.

Duties and Essential Functions include:

  • Conduct interview with patients and / or family members
  • Records and maintains complete documentation of activities performed on account
  • Notifies patients of case screening determinations and outcomes via verbal and written communications
  • Participates in data gathering for financial reporting
  • Set up arrangements / monthly installment plans for patients to payoff balances within the guidelines of COASC collection policy. Follow up on any payments that were missed within 3 days.
  • Discuss outstanding balances with patients attempting to receive future services.
  • Mail written notification of outstanding balance and options for payments on patient balances older than 31 days..
  • Work with dual collection agencies to ensure patient balances are transferred/managed
  • Create detailed notes in the system to reflect all actions performed on an account.
  • Maintain complete records of all patients applying for financial assistance to include the application, proof of income, the acceptance/denial letter, and any other applicable documentation.
  • Review bad debt collection files on a monthly basis for possible hardship cases.
  • Post all payments received from insurance companies, patients and other third parties.
  • Performs other task and duties as required.

QUALIFICATIONS

  • High School diploma or equivalent required
  • Two years medical records experience
  • One year collections experience in an ASC or physician’s office
  • Good typing, communication, and computer skills
  • Critical thinking skills, decisive judgment and the ability to work with minimal supervision in a fast paced environment.
  • Ability to perform work that requires frequent standing, bending, reaching, squatting, kneeling, moving, lifting of patients and/ or equipment up to 50 lbs.

  • Must exhibit courteous communication skills and the ability to work with others, exercising good judgment in the performance of job duties. Presents self in a positive manner as reflected by personal attire and etiquette.
